**SmartFiler:** **Intelligent document handling boosts access and empowers patients**
NHS general practices are under growing pressure. With rising patient demand and an overstretched workforce, over 136,000 GP hours are lost every week to the manual processing of clinical correspondence---letters from hospitals, specialists, and community care providers. This workload reduces time available for patient appointments, increases the risk of missed information, and contributes to clinician burnout.
SmartFiler is a clinically safe, AI-powered triage solution that transforms the way GP practices manage incoming correspondence. Developed by SmartLife Health, it streamlines the time-consuming task of document handling by analysing letter content, recommending accurate clinical codes, flagging urgent issues---such as safeguarding risks or medication changes---and suggesting appropriate follow-up actions. Uniquely, SmartFiler closes the loop with patients---translating clinical data into clear, jargon-free messages to ensure critical updates are understood, acted upon, and never missed.
Unlike other tools that simply extract codes from documents, SmartFiler mimics the logical clinical reasoning a GP would use to prioritise and process correspondence. It uses advanced machine learning techniques with transparent decision-making to ensure clinical safety and reliability. The system is interoperable with NHS IT systems and integrates into existing workflows through approved APIs.
This Innovate UK-funded project will accelerate SmartFiler's rollout across UK GP practices---unlocking 815,000 additional GP appointments weekly and saving the NHS £474 million per week through scalable, regulator-ready automation. The project will complete within six months and will deliver an end-to-end, regulator-ready solution compliant with medical device standards. The system has already undergone two safety validations and is built on a clinically curated dataset of real-world letters from UK general practices.
SmartFiler directly supports NHS goals to reduce bureaucracy, improve access to care, and make the best use of clinicians' time. By automating routine administrative work, SmartFiler allows practices to redeploy hours towards patient care.
This project will also create up to 30 new high-skilled jobs in health technology, with a focus on inclusive hiring and diversity. In addition to improving access for patients, SmartFiler aligns with the NHS's digital transformation and net-zero ambitions by reducing paperwork, travel emissions, and energy use.
SmartFiler represents a practical, scalable solution to one of primary care's most persistent challenges. With Innovate UK's support, it will move from pilot to production and deliver measurable improvements in capacity, safety, and patient experience.
